If you run a church office, you already write more than most people realise: announcements, welcome emails, volunteer reminders, meeting notes, event descriptions, and the occasional delicate reply. Learning how to use ChatGPT for church administration can hand a good share of that first-draft work to a patient assistant, so more of your week goes to people instead of paperwork.

This guide covers what ChatGPT does well in a church office, prompts you can copy today, what you should never paste into it, and how to let it answer questions about your own church without exporting anything.

What ChatGPT is good at in the church office

ChatGPT is a writing and thinking partner. It is at its best when you give it the facts and ask it to shape them. A few jobs where it earns its place:

First drafts. Sunday announcements, a newsletter paragraph, an event description, a thank you note to volunteers after a busy season.
Rewrites. Make a long notice fit a text message. Make a formal letter warmer. Make a volunteer request clearer for someone reading it on their phone.
Checklists and plans. What needs to happen before a baptism Sunday, a church picnic, or a new members class, with rough timings.
Summaries. Turn rough meeting notes into decisions and next steps, with a name against each one.
Plain language. Explain a policy, a safeguarding step, or a giving option in words a first-time visitor understands.

What it is not good at is knowing your church. It does not know who joined last month, which group needs a new leader, or how Easter attendance compared with last year. We come back to that below, because it is the part most church offices actually need.

Eight prompts you can copy today

Swap in your own details. The more context you give, the less editing you do afterwards.

"Write a warm, 120-word welcome email to someone who visited our church for the first time on Sunday. Invite them to our newcomers lunch on the 12th after the 11am service. Sign it from Pastor Grace."
"Rewrite this announcement so it fits in a 300-character text message and still includes the date, time and place: [paste]."
"Create a checklist for planning a church picnic for about 150 people, grouped by six weeks out, two weeks out, the week of, and the day itself."
"Turn these meeting notes into a short list of decisions and action items, each with an owner and a due date: [paste notes with names removed]."
"Write three short, friendly options for a reminder to our Sunday greeting team that they are serving this week."
"Draft a thank you note to our children's ministry volunteers at the end of the school year. Keep it under 150 words and mention the summer break."
"Suggest five titles and a two-sentence description for a four-week small group series on prayer."
"Explain how people can give online, by text, or in person at our church, in plain language for a new member. Use short paragraphs."

How to write a prompt that saves editing time

Most disappointing answers come from thin prompts. A good church office prompt has five parts:

Who it is from and to. "From the church office to parents of children in our kids ministry."
The facts. Dates, times, places, names of events. ChatGPT will invent details if you leave gaps, so fill them.
The length. "Under 100 words" or "fits in a text message".
The tone. Warm, calm, celebratory, pastoral. Say which.
The format. Email, bullet list, bulletin paragraph, social post.

Then treat the answer as a draft. Read it aloud, fix anything that does not sound like your church, and check every date and time before it goes out.

What you should never paste into ChatGPT

Anything you type into ChatGPT is handled under your own account and OpenAI's terms. Before you paste, ask whether the people involved would be comfortable with it. As a rule, keep these out:

Prayer requests, pastoral care notes, and anything shared in confidence
Member contact details, addresses and birthdays in bulk
Who gave what, and any bank or card details
Information about children
Safeguarding concerns or anything involving a legal matter

If you need help with a sensitive message, describe the situation without names. "Help me write a gentle reply to a member who is upset that their ministry role changed" works just as well as the real email. It is worth reading OpenAI's privacy policy and checking your own church's data protection policy before AI becomes part of your routine.

The gap: ChatGPT does not know your church

Some of the most common church office questions are about your own people and numbers:

Who joined this month, and have they been welcomed?
Whose birthday is coming up?
What events do we have in the next 30 days?
How has attendance looked over the last three months?
How much was given this year, by fund?

On its own, ChatGPT cannot answer any of these. The usual workaround is to export a list from your church software and paste it in, which is slow, goes out of date the moment you do it, and puts personal information into a chat you may not have meant to share. There is a better way.

Connect ChatGPT to your church management software

Churchease is church management software that works with ChatGPT and Claude. Instead of pasting data in, you connect the assistant once, and it looks up the answer in your church's records when you ask a question in plain language. It is called AI Assistants, and it was built around the concerns above:

It only reads. The assistant cannot change, send or delete anything in Churchease.
You choose what it can see. Pick from People, Groups, Events, Attendance and Giving totals when you connect. Nobody can share more than their own staff role allows, and that is checked again on every question.
Giving stays private. Giving is shared as totals only, by fund, month or payment method. Never who gave what.
Some things are always off limits. Prayer requests, testimonies, notes and form responses are never available to the assistant.
Nothing happens out of sight. Every question the assistant asks is listed in Churchease, and you can disconnect it at any time.

Setting it up takes a couple of minutes: open AI Assistants in the Churchease web app, copy your address, add it in ChatGPT or Claude, and press Allow on the approval screen. Our step by step guide, How do I connect Claude or ChatGPT to Churchease?, walks through each screen. If you want the full detail before you switch it on, read what an AI assistant can see in Churchease, and whether it is safe.

A few honest limits. AI Assistants is included with paid Churchease plans, not the free Starter plan or the free trial. It is for church staff on the web app, not members. And in ChatGPT, custom connectors need a paid ChatGPT plan with Developer mode switched on. Claude works too, if that is the assistant your team prefers.

Keep a person in the loop

AI is a helper, not a pastor. A few habits keep it that way:

Review before anything goes out. Every email, text or announcement should be read by a person first.
Check numbers that matter. When an assistant reports attendance or giving, the figures come from your records, but the summary is written by AI. For a board report, confirm the figure in your church software.
Keep care personal. Use AI to notice who needs a call. Make the call yourself.

Getting started this week

Pick one repeating task, such as the weekly announcements, and draft it with ChatGPT using the five-part prompt above.
Agree as a team what never goes into an AI chat, and write it down.

Used well, ChatGPT gives your church office something rare: a little more time. Spend it on the people.
